The Float Care Coordinator / Medical Receptionist is responsible to the Supervisor, Support Services and provides a combination of referral coordinator and front office functions. This role is primarily responsible for assisting with medical management data entry and referral functions. As a secondary function, this role may also be called upon to perform appointment scheduling, patient registration, cashiering, answering incoming calls and other related clerical functions. The Float Care Coordinator / Medical Receptionist role receives a 10% float differential that will remain intact as long as the incumbent remains in float status.
Primary Responsibilities:
Consistently exhibits behavior and communication skills that demonstrate commitment to superior customer service, including quality and care and concern with each and every internal and external customer
Represents the Company in a professional manner, following all Company policies and procedures
Uses, protects, and discloses patients' protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
Performs other duties as assigned
Consistent, punctual and reliable attendance
Care Coordinator Duties:
Responsible for total coordination and processing of all patient referrals for specialty services
Follows protocols for proper authorization and processing of all referrals
Communicates with the patient on a timely basis for all scheduling requirements
Coordinates pre-admission testing requirements with clinic personnel and patient
Completes all administrative functions associated with referral activities in a timely manner
Enters all referral, hospital, outpatient, DME and other patient specialty health service authorizations into the computer system according to Company policy and procedure
Receives consultant reports, maintains documentation, and routes to the appropriate physician promptly
Responsible for monitoring all referral reports not received and timely follow-up in accordance with Company policy and procedure
Medical Receptionist Duties:
Responsible for accurately and professionally handling all front desk operations including answering phones, greeting patients, scheduling of all appointments, balancing daily collections, addressing routine inquiries, and forwarding non-routine requests to appropriate personnel
Receives incoming telephone calls in a prompt and courteous manner and performs clerical duties as directed
Assists with the inventory and maintenance of business office supplies and the completion of business office reports
Works daily reports, incomplete encounters, No Show reports, and other designated administrative reports according to Company procedures
Conducts all front office functions as requested

Required Qualifications:
High school graduate, GED or equivalent
Valid Florida driver's license, insurance and vehicle for work-related travel
Demonstrated clerical skills (typing, filing, telephone courtesy)
Knowledge of business office operations and basic bookkeeping principles
Knowledge of medical equipment and maintenance
Knowledge of HIPAA regulations
Computer literate
Able to display excellent telephone / switchboard etiquette
Ability to read, speak, write, and understand the English language fluently
Ability to travel to/from medical centers during the course of a normal workday at any time due to business need
Preferred Qualifications:
Medical office experience with referral processing for HMO plans
Medical office experience
Knowledge of medical coding
Ability to interact and verbally communicate effectively with patients and all levels of personnel in a professional, courteous and effective manner with excellent customer service skills
Ability to multi- task in a high paced environment with good organizational skills
Ability to follow written and oral instructions and to work with general guidance
Results and goal-oriented with a philosophy for quality improvement
Possess high job accuracy, efficiency, and dependability
