Answers incoming calls and greet visitors with emphasis on efficiency, professionalism, and accuracy. HUMAN RESOURCES DUTIES AND RESPONSIBILITIES:Prepares information packets for new hires, welcome emails, sets up work stations, etc.Maintains security badges for employees and visitors Administers Employee Anniversary Award Program Administers Outstanding Achievement Award Program Posts and tracks job openings Maintains applicant tracking system Schedules and coordinates interviews, conducts interviews as neededProvides information on company benefits to prospective candidates Creates and updates various forms and documents, such as org charts, procedures, employee surveys Coordinates employee training Provides back-up to Human Resources Coordinator to include benefit administration and payroll processing RECEPTION DUTIES AND RESPONSIBILITIES:Operates multi-line telephone console in a pleasant and efficient manner. Process incoming calls, take accurate messages as required, and route all calls and messages in a timely manner (no more than 3 rings)Greets incoming visitors in a friendly and helpful manner. Provide visitors badges, maintain visitor log, and follow up to ensure return of passes. Maintain building security by ensuring that all visitors are escortedReceives, processes, and distributes incoming mail and post all outgoing mail. Maintains adequate postage for postage meter Maintains adequate forms and office supplies for reception and mailroom areas Updates Reception procedural manual as required. Actively maintains lobby area for organized and professional appearance Manages the after-hours call center for accuracy, efficiency, and professionalism Maintains NDA document tracking and storage as neededGENERAL DUTIES AND RESPONSIBILITIES:Assists with projects and department tasks as assignedResponsible to be aware of and adhere to the applicable Safety & Health, Quality and Environmental Process of Plasma-Therm LLCSUPERVISORY RESPONSIBILITIES: NoneQualificationsQUALIFICATIONS:High school graduate or equivalent, some college preferred and Minimum three years of Administrative experience required, with 6 months of Human Resource assistance experience SKILLS AND ABILITIES:Ability to communicate effectively interdepartmentally, and externally with the general publicExcellent working knowledge of MS Office Suite, including Word, Excel and PowerPoint General office skills to include filing, sorting, typing, etc. Excellent inter-personnel skills, team oriented, high level of initiative, and dedication are required to secure the trust and support of the many varied points of the daily businessAbove average organizational skillsAbility to maintain high level of confidentialityAbility to multi-taskBasic understanding of payroll processing utilizing online payroll and HR software WORK ENVIRONMENT AND PHYSICAL DEMANDS:The normal work environment is typical of a business officeThe incumbent is routinely required to sit for long periods of time, see, hear, and speak.
