Department: Insurance Services Territory: St. Petersburg, FL Insurance Discipline: Property and Casualty Job Duration: Full-time FLSA Status: Non-exempt Schedule: M-F 8-5pm Job Purpose The Administrative Assistant Associate is an entry level position responsible for providing administrative support to an individual and/or group department. Essential Job Functions Listed below are representative of those required on the job. Incumbents may perform other duties and responsibilities as assigned. Maintains calendars and schedules, which includes scheduling meetings and events, and reserving locations, equipment, and food if necessary. Responsibilities may also include assembling materials (i.e., binders, handouts, agendas, etc.), and taking meeting minutes. Handles travel arrangements, which may include but is not limited to working directly with the internal travel department, making accommodations for hotel and ground transportation, and processing travel reimbursements. Processes various business related reimbursements via XMS Places orders via the Progressive Shopping Center. Handles special department orders, which could include flowers, books, and special supplies/materials. Makes copies, answers phones, types correspondence, and sends faxes on an as needed basis Coordinates department events and activities, which could include, selecting the location and food. Responsibilities may also include processing invoices Coordinates cleaning and maintenance needs with the Facilities department. May be responsible for maintaining the Support Station for the floor, which could include but is not limited to maintaining supplies, sorting and distributing mail delivered to the Support Station, calling for maintenance regarding equipment issues, and monitoring recycling bins May coordinate projects with copy centers or the Graphics Department Evening/night hours may be required Extra hours may be required during business peaks or to meet seasonal deadlines Demonstrates the ability to work assigned schedule subject to exceptions under Progressive's flexible schedule policies and practices Job Qualifications Listed below are the requirements needed to be proficient in the job. The ability to operate a PC with a strong working knowledge of associated software, including Microsoft Office and Lotus Notes. Good interpersonal and communication skills with the ability to interact effectively with others. The ability to multi-task and work under direct supervision.
