Administrative AssistantDeadline for applications: 11/19/2021Reports to: Deputy DirectorWho We Are: Pinellas PAL is a nonprofit childcare center in Lealman, Florida, an area designated as high risk by Pinellas County. Our mission is to provide a safe, caring, and educational environment for kids aged 5-18 at our elementary and middle/high school locations at both after-school and summer programs. Kids who come to PAL participate in academic, mentoring, leadership, and creative activities with supportive, caring adults to help them grow into tomorrow's leaders.Who We're Looking For: Under the direction of the Deputy Director, the Administrative Assistant performs administrative office duties of a routine to complex nature. This position requires accurate typing, entering and maintaining information into databases, updating files, processing forms, researching information, managing records, scheduling appointments, providing information to callers and/or walk-in citizens, and maintaining knowledge of the agency's policies and procedures. Work is reviewed through observation, review of work products, and results obtained. An ideal candidate for this position will be a self-starter and critical thinker who approaches tasks with a "can do" mindset and thrives in a team environment.NOTE: Applicants must pass a Level II background check, a DCF childcare background check, and a polygraph. Employment is contingent upon passing these prior to starting at PAL.Job Requirements:

  • Minimum of 2 years' relevant experience - preferably in a role assisting upper management
  • Valid Florida Driver's License
  • Proficient in Microsoft Suite, Google Workspace, and Dropbox
  • Ability to type minimum 50 WPM and score 80% or higher on a data entry assessment
  • Excellent organizational, communication, and time management skills
  • Ability to independently troubleshoot a variety of scenarios and present solutions
  • Fluent in written and spoken English; bilingual in Spanish preferred
  • Associate's degree or some college in a relevant field preferred
  • Experience in non-profit organization preferredEssential Duties and Responsibilities*: Administrative
    • Assist with clerical and administrative processes
    • Respond to inquiries, phone calls, requests for information, and visitors, directing communications to the appropriate parties
    • Maintain a calendar of meetings, events, holidays, etc.
    • Order office and program supplies as needed
    • Conduct research, collect information, and verify source information for a variety of administrative issues
    • Create, maintain, and organize paper and digital files, documents, and data
    • Operate office equipment including scanners, copiers, and printers, including arranging for repairs as necessaryOther duties as assigned; assistance with special events as needed*This is not intended to be all-inclusive and you may not be responsible for every item listed.
